When you provide the best service for your clients you will have the advantage over most companies. There are plenty of businesses that do not like to deal with their clients. Now a day’s everyone is using the automated system. Push this button to return a product, push another button to make a complaint, push that button to talk to a customer service representative then they have you on hold for so long.

Whether you have an automated system or you have live people talking on the phones make a first good impression. When you answer your phone say your company's name and after that ask how you may be of help to them. Make sure to listen what they are saying and let them finish before you speak. Try not to have an answering machine pick up your calls during your office hours. Only let your machine pick up your calls after hours when you are closed. Customers appreciate that....

When you get complaints try not to make excuses as to why something didn't work or why they haven't received their package yet. They paid for your product and they will want to see fast results. Tell them you will take care of the problem and if you can't resolve it while you have them on the phone, tell them you will call them back as soon as you have solve the problem. Just make sure to keep your promise about calling them back. Please don't let them call you before you can them. That is not good service.

The person you are helping should be your only priority. Make them feel like you care about the problem that they are having at that time. Take notes as they are speaking so not to mess things up even more. Don't try to multi-task while helping your customer. It will not work when your mind is running every which way. Your customer should be your main concern.

You will come across customers with attitudes and take things out on you. Be professional! I know it will be hard not to yell back but this is your company and you don't want to make a bad impression no matter what the situation may be. It may not even be your fault but just remember to keep a cool head and speak nice to your customer. Some time the customer will calm down when they see how you are treating them with respect. It will make them look foolish and in return you will get your respect from them. So don't take insults personally.
Be sure that your business policy is honest, positive and ethical you can't go wrong with this practice. Don't make promises you can't keep, your word is your bond. People will keep you at your word, once broken they will have a hard time trusting you again. Treat people the way you want to be treated. If you do that you can't go wrong....
