Importance of effective communication:
In today’s world effective communication pays back in delivering quality service to a customer. Often projects, business transactions get delayed, or fail, or delivered with flaws due to lack of effective communication. This leads to other repercussions within the organization.
Communication in its simplest form is transmitting information from one person to another person or a group related to a subject so that the other person learns, understands, decides and acts upon the same.
Communication happens at various levels
• Within the team of a functional department in an organization
• In between the team of multiple functional departments in an organization
• In between team of multiple functional departments and multiple organization
• In between team of multiple functional departments, multiple organization and cross cultural
When dealing with project on a large scale organizations face hurdles in effective communication.
The mode of communication has to be well defined with flow of information in a continuous manner.
The integrity within the teams of various functional departments, organizations and culture comes only when the flow information related to the activities of the project is smooth and the communication is effective.
When there is an uninterrupted access to information about the current activities of a project, the coordination becomes much easier. This helps when the decision making factors, cost and time are critical in delivering the project.
The modes / channels of communication generally practiced are
• Email Communication
• Web conferencing
• Telephone
• Written materials
• Video demos
Factors influencing effective communication ar
• Knowledge of the subject
• In depth understanding of the decision making factors
• Hold on the language
• Communication skills - written / oral
• Tone of communication
• Skills in communicating to individuals and groups
• Completeness in information flow / transmission
When the information is centrally managed with updates on the project, it is very easy to find bottle necks to the flow of project. The issue can be straight away addressed if one has appropriate information on hand.
Though the communication channels, flow of information is well defined; at times executives do not take decisions to act upon the subject due to lack of knowledge or complex (not simplified) decision making approach.
To infer from the above; decision making factors, channels of communication and the scale of information flow, organizations that follow well defined, simplified communication channels with clarity on the subject will deliver better results and quality services. Effective Communication helps in reducing slack time, re work, resources, man power efforts and the cost. It minimizes wastage of both tangible and intangible resources.
