Guidelines to Accomplish Successful Meetings

Step #1: Make a realistic agenda for the meetingrn When organizing or planning meetings, it is essential to be realistic when designing its agenda. Attempting to cover too much could bombard the members with information and cause them to either lose interest or be overwhelmed. It should be an appropriate amount of information to encourage discussion among the members and generate feedback.
Step #2: Provide the meeting’s agenda to the members beforehandrn To further encourage participation and provide an idea of what will be discussed, team members should be provided with the agenda prior to the meeting. This can give team members time to prepare and research information or think of questions that they may want to ask, thus keeping individuals actively engaged. The agenda should have a concrete schedule and should include the objective, a list of all members, and the type of meeting (brainstorming, decision-making, update, etc).
Step #3: Manage the length of a meeting in order to keep members’ interestrnIt is generally a good idea to avoid extremely long meetings, since they tend to lose their focus, along with the attention of the members. If the meeting needs to be longer, provide short breaks in between to keep members focused. It would also help to designate a timekeeper to ensure the meeting adheres to a strict schedule. This will communicate the meeting’s length to the members and make the process more organized.
rnStep #4: Keep the members engaged Despite all the planning necessary, a well-organized and prepared meeting is only half of what is needed; the members need to actively participate and get involved in discussions as well. To help keep people engaged, allocate simple roles to different members. The different roles can range from timekeeper, to facilitator, and scribe, and will ensure their focus for the meeting.
Step #5: Make sure everyone has understood and gained from the meetingrn Meetings are only effective if the members are able to clearly understand the presented information and ultimately gain from it. This is why it is crucial to ensure at various points in the meeting that all the members are following. Asking certain employees by name whether they have anything to contribute also facilitates discussion and engagement. All the members should be aware of what is accountable and what steps need to be undertaken for a particular task. A clear and concise summary would be useful to recap all the information covered in the meeting.
Following these steps ensures clear and direct communication between the team members. Overall, the key to a meeting is effective communication among all who participate—without that, the meeting will never work as well as it could.
